Working as part of the Design team, the role holder will be responsible for the control of technical documents for the business.

This is a permanent, full time position.

What the role involves : 

  • Based in the Design office, support to the team members for preparation of all technical submissions
  • Ensure all submissions are submitted in a timely manner, appropriate approval/rejection are obtained and formally recorded, and that changes and revisions are managed as part of document control process
  • Keep track of all documents correspondences and transaction 
  • Maintain and update all document registers
  • Control of issue and receipt of all documents and drawings - Quality checking all information
  • Monitor and update any change and modification to the technical documents. Highlight any deviation to the relevant people
  • Support the Design team for the preparation of presentation materials if necessary
  • Commercial administration support i.e. raising VOs
  • Develop and implement processes related to customer document packages
  • Identify customer documentation requirements as part of the contract review process
  • Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence
  • Transmittal of files to and from clients
  • Good understanding of technical documentation for ensuring it is correct and complete
  • Electronic filing and archiving of documentation within the project
  • Control and manage electronic and hard copies between project team and external parties. Maintain traceability of project documentation 
  • Prepare status reports for internal use and toward Clients
  • Preparation of final documentation packages for final handover to clients
  • Assist in continuous improvement of control processes, procedures and information management as per ISO 9001:2008
  • Assist with bids, as may be needed from time to time
  • Any other tasks commensurate with this post

What we are looking for :

  • A-levels or NVQ equivalent in Numerical/technical subjects
  • Previous experience as a Document Controller, ideally within engineering and construction sectors is essential, however consideration will be given to applicants from other sectors
  • Proficient in Microsoft Office suite (checking and formatting of documents)
  • Good knowledge of Microsoft SharePoint
  • Ability to work as part of a team with good communication skills
  • Well organised, attention to detail, flexible and professional
  • Flexible, helpful and proactive work ethic
  • A good level of numerical proficiency
